Overview

Florida International University (FIU) is seeking a reliable and detail-oriented Office Assistant to support administrative operations across departments. As part of a vibrant and diverse university community, you’ll play a key role in ensuring smooth day-to-day office activities, assisting faculty, staff, and students, and helping maintain a professional and efficient work environment.

This position is ideal for individuals who are organized, proactive, and passionate about higher education and service excellence.

Responsibilities

Provide administrative and clerical support, including answering phones, scheduling meetings, and maintaining records.
Greet and assist visitors, faculty, and students in a courteous and professional manner.
Prepare correspondence, reports, and other documents as needed.
Assist with data entry, filing, and office inventory management.
Support event coordination, logistics, and meeting preparation.
Process incoming and outgoing mail and deliveries.
Maintain confidentiality of sensitive information in accordance with university policies.
Collaborate with team members and other departments to ensure efficient workflow.

Requirements

High school diploma or GED required; associate or bachelor’s degree preferred.
At least 1 year of administrative or clerical experience (university or office environment preferred).
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational skills and attention to detail.
Excellent verbal and written communication abilities.
Ability to multitask and manage time effectively in a fast-paced environment.
Professional demeanor and customer service orientation.
