Intelmatix is Hiring an Office Manager!
Location: Boston, MA
Schedule: Full-time, Monday–Friday (office hours; occasional after-hours support as needed)
Pay Rate: $72K–$95K annually - (based on experience)

With a global team and strong commitment to growth, we’re seeking a highly organized and proactive Office Manager to support our Boston operations and help maintain an exceptional work environment.
Responsibilities
Serve as the day-to-day point of contact for all office operations in the Boston location: facility management, supplies, equipment, vendor coordination.
Oversee administrative functions: reception, mail, courier, meeting room scheduling, travel logistics, employee onboarding and off-boarding.
Maintain and update office policies, procedures and documentation to ensure compliance and efficiency.
Support HR and finance teams with expense processing, invoicing, budget tracking, and purchase approvals.
Plan and coordinate company events, meetings, and team-building activities; ensure the office environment reflects our culture of innovation and collaboration.
Manage relationships with landlords, contractors, IT/AV providers and building services; monitor service contracts and ensure quality standards.
Facilitate smooth remote/hybrid working arrangements; ensure that office resources and protocols support both in-office and remote team members.
Assist leadership with ad-hoc administrative tasks and special projects as required to support business growth and scaling efforts.
Requirements:
Must-Haves
5+ years of relevant office operations or administrative management experience in a fast-paced, professional environment.
Strong organizational, communication, and multitasking skills—able to manage competing priorities independently.
Proficiency with Microsoft Office suite (Excel, Word, Outlook) and familiarity with vendor/contract management.
Experience with basic budgeting, expense tracking and PO/invoice workflows.
Proven ability to work in a growth-oriented company, adapt to change, and proactively improve processes.
Location: Boston, MA and available for in-office presence as needed.
Nice-to-Haves
Bachelor’s degree in Business Administration, Operations Management or related field.
Experience in a tech or AI company environment, especially a startup or scale-up.
Familiarity with facilities management, hybrid work models and employee engagement initiatives.
