WorkWhile Shift Lead
Title: Shift Lead
Type: On-Site Event-Based Role
Location: Varies by event site
Reports To: Lead Support Line / WorkWhile Operations
Summary:
The Shift Lead represents WorkWhile on-site, ensuring smooth shift execution by supporting workers, maintaining professionalism, communicating effectively with the client, and resolving issues proactively. This role requires reliability, leadership under pressure, and punctuality.
Core Responsibilities:
Arrive 30 minutes early to check in with the client and prep the site.
Clock in/out workers using the WorkWhile app (QBar scanner or manual).
Ensure proper worker attire and attendance.
Be the on-site point of contact for both client and team.
Address issues such as late arrivals, disputes, or uniform problems.
Submit a clear photo of the client's official timesheet before leaving.
Maintain open communication with the client and Lead Support.
WorkWhile Platform Guidelines & Policies
WorkWhile’s Platform Guidelines & Policies are established to provide a secure, respectful, considerate, and productive environment for workers, customers, and the WorkWhile worker success team. You are expected to follow these Guidelines & Policies when you use the WorkWhile Platform, and you will be removed from the Platform if you do not do so.
Workers ARRIVE for the event:
Before workers go through the gate or to their post, the WorkWhile Shift Lead will:
- Check worker attire, make sure they are in the correct attire & rules are followed
- If the worker is in violation of the attire policy, they will be sent home without pay
- If everything is in order, the worker proceeds to check in with the Company
Once the worker enters and signs in, the Shift Lead will:
- Have WW workers check in with the shift lead and have the worker sign in on the printed shift roster
- Manually clock in all workers that have signed the sheet by using the shift lead app. to update times. This step must be done as the workers come in so that managers and the shift lead team knows who is clocked in.
After and During Worker Entry:
- Make sure to note on the Shift Roster what department the worker is going to.
During the shift
- Shift leads will use the Shift Roster and make rounds to the departments, and take "roll” to make sure workers are on the floor and in the right place
- If a worker is missing from the event post, let the supervisor know, they may have asked to leave for the restroom or water. If not, note on the roster that the worker is missing. You will need to look for the worker. If the worker is not found, they should be clocked out
- You will need to walk the event grounds to ensure workers are at their posts
- If a worker asks to leave early during this time, please let them know that if they leave early they will only be paid for the time they worked
- Clock the worker out and mark it as PRORATED PAY.
During Ongoing shift:
- Shift leads should be making rounds for each department every hour:
- Do counts of each department to make sure it adds up to signed-in totals
- If total is wrong, ask if any workers didn’t check in with a shift lead
- Do role call for non-signed in workers in case a work has arrived late
- Do check in with each supervisor to assess needs, and make sure that the team is doing a good job. If any adjustments need to be made, take action on those items
If a department needs additional workers and workers are pulled, maintain a log that includes:
- name of supervisor
- date/time of request
- name of each worker.

End of Shift:
- Close to the shift end time the Shift Lead will grab the appropriate Shift Roster that workers originally signed in on, and head to the turnstiles
- Have the worker sign out on the Printed Shift Roster
- Please check the workers ID and QR code to ensure the right worker is signing out
- Clock the worker out
- Using the roster and the WorkWhile App, make sure that all workers from the shift have signed the roster and are clocked out. If there are workers that haven’t clocked out, check location tracking to verify where they are.
- You may have to use tracking via the WorkWhile Shift Lead App or send a message worker to determine where they are.
When the worker is unaccounted for at check out:
- Create ticket for workers that sign-out that haven’t signed-in
- Announce names of no shows to make sure unaccounted for person didn’t come late and not check-in (not sure if there is an opportunity for this)
Worker feedback and on-site requests:
Any Injury or incident on-site. This includes worker causing a scene or becomes irate, follow these steps:
- Gather all the facts
- Write your statement
- Steps taken to resolve the issue

*Form must be completed anytime a worker is injured whether they seek medical attention or not
Shift Leads are expected to assist anytime a WorkWhile worker needs to be escorted out of the building. Once the worker has exited the building, please report the name of the worker by text message via the Shift Lead Line and be sure to report to your Field Operations Coordinator so our team is looped in to any issues on site and can block worker(s)
Please instruct the worker to reach out to the WorkWhile Support chat anytime there is a shift or an account issue such as:
- Workers clock in/out time is incorrect for a past shift
- Workers account is blocked
- Worker received a Strike and needs it removed
- We should always explain to workers they must have their location tracking on at all times so we can verify their working hours
Failure to adhere to assigned tasks and platform guidelines will result in disqualification from future opportunities as a shift lead.
