Responsibilities of the Legal Assistant, Estate Planning:
- Prepare and revise legal documents such as wills, trusts, and tax forms (706s, 709s, asset lists).
- Draft, edit, and proofread correspondence and legal memoranda.
- Transcribe dictation from various sources, including voicemails.
- Oversee incoming and outgoing mail.
- Handle incoming phone calls, direct inquiries, and provide responses.
- Schedule and coordinate client meetings and conference calls.
- Manage attorneys' calendars, track deadlines, and coordinate schedules.
- Organize and maintain client files, ensuring proper filing procedures.
- Review and process monthly billing memos.
- Arrange travel and business itineraries as required.
- Accurately record attorney time entries.
- Communicate effectively with clients and internal staff members at all levels.
- E-file documents in federal and state courts as necessary.
Qualifications of the Legal Assistant, Estate Planning:
- Minimum of five years' experience as a legal assistant, with a focus on estate planning and probate.
- Proficient in drafting wills, trusts, and related estate planning documents.
- Demonstrated ability to manage multiple calendars and deadlines effectively.
- Strong command of Microsoft Office applications (Word, Outlook, Excel, PowerPoint).
- Knowledge of electronic court filing systems (Federal and State).
- Typing speed of at least 80 words per minute.
- Excellent verbal and written communication skills.
- Exceptional grammar, spelling, punctuation, and proofreading skills.
- Strong organizational abilities and keen attention to detail.
- Capability to work independently and collaboratively within a team environment.
- Dependable, professional, and able to maintain confidentiality.
- Flexibility to work overtime on short notice if required.
