Human Resources Administrator
Summary
The Human Resources Administrator is responsible for administering and coordinating the organization’s human resources programs and day-to-day HR operations. In partnership with the Controller, this position supports company operations by maintaining HR processes, ensuring compliance, and serving as a resource for employees and managers. The Human Resources Administrator will ensure legal compliance where necessary and will stay well-informed of applicable technological solutions. This position also assists in shaping a culture of staff engagement in accordance with the organization’s Core Values.
Responsibilities (note: this list can be adjust as the needs of the company change):
Employee Relations, Engagement and Communications
Serves as a resource to managers and staff on HR policies, procedures and processes.
Communicates regularly and effectively with employees regarding HR-related matters.
Maintains, updates, and assists with the implementation of HR policies and procedures. Maintains employee resource guide.
Plans and executes events and communications for employee appreciation, all-hands meetings, anniversary recognition, company Christmas party, etc.
Performance Management, Evaluation and Compensation
Administers and maintains the performance evaluation system and documentation. Regularly reviews the process, identifies opportunities for improvement, and provides recommendations to leadership for approval and implementation.
Partners with leadership on improvements to the performance evaluation process as needed.
Works with managers to prepare and update job descriptions.
Provides guidance to managers on HR processes related to performance improvement, disciplinary actions, and terminations, and prepares supporting documentation.
Facilitates communication between employees and/or managers to address and resolve workplace issues and prepares related documentation.
Gathers and organizes compensation data and provides research to support wage and salary reviews.
Benefits Administration
Oversees employee benefits programs through Employee Navigator and company relationships with benefit providers.
Coordinates open enrollment and life change events.
Coordinates administration of retirement plans, including new account set up, employee contribution deductions, and employer contribution calculation.
Reviews benefit invoices for accuracy and reconciles against payroll deductions.
Supports the Controller in annual benefit renewal reviews and vendor communications.
Recruitment and Staffing
Coordinates with managers to assess goals related to staffing, recruiting, and retention.
Assists with tracking turnover trends and supports managers with retention-related initiatives as directed.
Creates job postings and distributes listings to suitable sites.
Screens resume for appropriate candidates to send to managers.
Coordinates interviews for hiring managers as appropriate.
Creates and presents job offers to qualified candidates; works with managers to negotiate offers when necessary.
Conducts onboarding of new employees including gathering all necessary documentation, running background screenings, setting up new employees in all appropriate systems.
Provides new employees with an orientation on company policies and procedures.
Payroll
Become the expert of our payroll system (currently Paycor).
Documents payroll changes.
Processes timesheet data to prepare for payroll.
Calculates appropriate additions to payroll to accommodate on-call hours, bonuses, and missing information from timesheets.
Audits payroll for accuracy and submits to Controller for final submission.
Employee Development
Coordinates with managers to identify training and development needs and assists with the development or coordination of training programs appropriate to each department or position.
Periodically evaluates effectiveness of training programs and makes adjustments as necessary.
Develops a working knowledge of Culture Index and assists employees with understanding its benefits.
Compliance
Maintains records and employee files required by law or local governing bodies.
Provides necessary employee training in the areas of sexual harassment prevention, fair housing, necessary technology training, customer service skills and effective communication.
Oversees all aspects of the employee leasing licensing process.
Is knowledgeable on changing employment laws and adjusts policies to maintain compliance.
Complies with all reporting requirements such as the ACA filing, EEOC reporting, the US Census, etc.
Works alongside the Director of Maintenance Operations to ensure OSHA compliance.
Files Worker’s Compensation claims on behalf of impacted employees and maintains all appropriate records regarding incidents and claims.
Responds to unemployment claims.
Coordinates and supports the organization’s response to hearings and investigations, working with leadership and external partners as needed..
