Executive Assistant Role
- Directly support the CEO, managing executive scheduling, meeting preparation, logistics, and internal operations.
- Coordinate complex calendars, appointments, and meeting logistics for the executive team.
- Prepare reports, documents, and key insights for CEO meetings and events.
- Track CEO priorities and ensure timely follow-up on tasks.
- Coordinate domestic travel for the CEO and support team travel needs.
- Maintain CRM systems, contact databases, and document archives.
- Take meeting notes, transcribe summaries, and manage task assignments.
- Support client-facing events and assist with presentation materials.
- Manage general office operations, including vendor liaison and supply orders.
- Oversee team expense reports and facilitate operational procedures for efficiency.
- Create and edit reports, internal documents, and PowerPoint presentations.
- Assist with civic, leadership, and professional commitments on behalf of the CEO.
- Take initiative on special projects and ad hoc tasks.
Executive Assistant Background Profile:
- Bachelor's degree required.
- Minimum 5 years of experience supporting C-suite executives in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Knowledge of LinkedIn, QuickBooks, and HubSpot is a plus.
- Highly organized with strong attention to detail and multitasking abilities.
- Strong written and verbal communication skills.
- Discreet, professional, and tech-savvy with a willingness to learn new tools.
- Positive, team-oriented attitude with strong interpersonal skills.
- Comfortable in a small office environment with hybrid flexibility.
- Authorized to work in the U.S. and pass a background check.
- Proof of COVID-19 vaccination required.
