Position Summary
 
The Estate & Inheritor Services Specialist is part of a specialized team dedicated to supporting clients through the inheritance process. This role involves managing the transition of assets for individual clients and serving as a Subject Matter Expert for Brokerage Wealth Management clients, Financial Advisors, Client Service Associates, and Branch Management to facilitate inheritance and legacy transfers.
The Specialist will collaborate closely with branches and internal departments, provide exceptional client support, and process documentation in a virtual branch environment.Key Responsibilities
 

• Provide one-on-one support and guidance to clients throughout the inheritance process, ensuring transparency, empathy, and excellent service.
• Communicate proactively with clients via phone and email to deliver high-quality, timely assistance.
• Process and follow up on client service requests to ensure timely completion.
• Set clear expectations with clients and beneficiaries based on internal Service Level Agreements (SLAs) and provide consistent updates.
• Deliver world-class customer service to both internal and external clients in all interactions.
• Research and resolve inquiries or issues accurately and efficiently.
• Maintain detailed case documentation using internal Brokerage systems.
• Actively manage and monitor daily case loads using technology tools and resources.
• Follow firm verification policies to prevent identity theft and fraudulent activity.
• Stay current with SEC/Client, Compliance, and Firm guidelines to ensure all processes are compliant and mitigate risk.

Education and Experience
 

• Bachelor's degree preferred
• 3–4 years of experience in the financial services industry preferred, including client service, estates, trusts, retirement plans, account openings, or asset distribution processes

Knowledge and Skills

• Strong interpersonal, verbal, and written communication skills
• Excellent organizational skills, attention to detail, and follow-up ability
• Proficiency in Microsoft Office Suite
• Ability to research and resolve complex service inquiries
• Strong problem-solving and multitasking abilities in a fast-paced environment
• Basic knowledge of Brokerage systems and procedures is a plus
• Self-motivated team player with the ability to work independently and collaboratively
