๐Ÿ’ต Pay: $22 โ€“ $26 per hour (based on experience)

About the Role

We are seeking a detail-oriented, proactive Sales Administrative Assistant to join our RSI department. This individual will support our sales team with bid coordination, project startup activities, proposal management, and event logistics. If youโ€™re organized, customer-focused, and thrive in a dynamic environment, weโ€™d love to hear from you!

Key Responsibilities

๐Ÿ”น Sales & Administrative Support

  • Assist in preparing proposals, quotes, and bid packages
  • Track leads and follow-ups to ensure timely client communication
  • Process expense reports with accurate cost coding
  • Organize documents for client meetings and sales presentations

๐Ÿ”น Bid & Proposal Coordination

  • Help compile complete bid packages for fire sprinkler and life safety services
  • Gather internal data from estimating and engineering teams
  • Track status of submitted bids and communicate updates

๐Ÿ”น Project Startup Support

  • Coordinate documents for new project setups (background checks, booking sheets, etc.)

๐Ÿ”น Events & Travel Planning

  • Schedule and coordinate team travel for events, site visits, or conferences
  • Book flights, accommodations, and prepare event materials
  • Maintain calendars and ensure smooth scheduling

๐Ÿ”น Sales Reporting

  • Maintain sales lead tracking systems
  • Provide regular updates on pending bids and scheduled events

Requirements

  • 1+ year of experience in sales support or administrative assistance
  • Proficiency in Microsoft Excel, Outlook, and standard office tools
  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
