As a DMV Field Administrator at Bluetape USA, you will play a crucial role in ensuring smooth communication and coordination between our customers, technicians, and management. Your day will be filled with responding to customer inquiries promptly, managing a busy schedule of technician appointments, and maintaining accurate documentation for all interactions. You will be the go-to person for problem resolution, keeping everything organized and running efficiently.

Requirements

In this role, you will be our point person for helping the entire market run smoothly. Here is what we're looking for:

  • Ability to respond to all customer communications within 15 minutes (phone calls, emails, texts) while managing a high volume of communications.
  • Strong documentation skills for executing detailed follow-up processes after each customer interaction.
  • Excellent scheduling and coordination skills to effectively manage technicians, field managers, and vendors.
  • Outstanding communication abilities, both written and verbal, serving as the main point of contact between customers and technicians, with professionalism and clarity.
  • Experience in customer service/support, demonstrating a positive attitude in all interactions.
  • Expertise in scheduling and dispatching, with experience in using scheduling software to efficiently coordinate technician appointments based on skills and geographical location.
  • Detail-oriented approach to accurately record customer information, job details, and special instructions without errors.
  • Strong time management skills to prioritize tasks while simultaneously managing multiple projects and customer requests.
  • Problem-solving skills to handle unexpected scheduling changes, customer concerns, and technician issues with minimal supervision.
  • Basic understanding of home services to communicate effectively about common service requests and scheduling requirements.
  • Ability to accurately process invoices that reflect the approved work performed, ensuring proper pricing and service details.

Nice to Have

  • Previous experience in the home service industry, with familiarity in specific trades (plumbing, HVAC, electrical, etc.) and their scheduling requirements.
  • Advanced knowledge of dispatching software, with experience using popular platforms like Service Titan or similar systems.
  • A background in customer service through previous roles in customer-facing positions that developed a strong service orientation.
  • Basic accounting knowledge, including an understanding of invoicing practices, payment processing, and basic financial reconciliation.
  • Strong multi-tasking abilities, with experience managing high call volumes while handling other administrative tasks.
  • Conflict resolution skills, with a history of de-escalating customer concerns and finding positive resolutions.
  • Geographic familiarity with the service area to aid in efficient scheduling and routing.
  • Flexibility with work hours, with a willingness to respond to urgent situations outside standard work hours as needed.
  • Team player mentality, capable of collaborating effectively with field technicians and management.
  • Technological adaptability, with comfort in learning new software systems and digital tools as the company evolves.
