JOB BRIEF

Seeking a versatile and detail-oriented Sr. Office Administrator to provide comprehensive support across various organizational functions. The role requires assisting with tasks including maintaining records, coordinating surveys, managing projects, promoting sustainability, and supporting quality assurance activities.


ROLE OBJECTIVE

The primary objective of the Sr. Office Administrator is to provide efficient support across diverse functions, ensuring smooth organizational operations. The role contributes to organizational success by ensuring compliance, facilitating communication, and promoting sustainability and safety.


KEY RESPONSIBILITIES include the following. Other duties may be assigned.

  • Serve as the primary point of contact for contract-related matters, communicate and present information to management.
  • Maintain and renew various company insurance policies.
  • Record minutes and follow-ups for Executive and Board meetings.
  • Process, file, and retrieve corporate records and documents.
  • Handle new business licenses and patents, tracking and renewing as necessary.
  • Collaborate with the corporate attorney on legal and immigration issues.
  • Prepare reports and special projects, including data collection and distribution.
  • Draft professional correspondence on behalf of top management.
  • Provide strategic administrative and project management support.
  • Prioritize conflicting obligations and independently complete projects on tight deadlines.
  • Assist in maintaining records related to business names, logos, and trademarks.
  • Support the legal team in research and compliance with trademark regulations.
  • Corporate Credit Cards Monthly Statement Reconciliation & AP Outgoing Payments
  • Employee Bi-Weekly Expense Reports & Outgoing Payments
  • Perform special projects as requested by supervisors.
  • Adhere to the Quality Management System.

Requirements
  • Bachelor's degree in Business Administration, equivalent combination of education and/or experience required.
  • Previous experience in administrative support, project coordination, or related roles.
  • Strong teamwork skills and a strong ability to offer suggestions and improvements to process and work effectively.
  • Must be able to professionally handle sensitive information and maintain complete confidentiality.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively with cross-functional teams.
  • Attention to detail and accuracy in managing documentation and records.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
