Optim Health System is seeking a full time Office Manager for our Macon location. This physician clinic is a neurosurgery practice with one neurosurgeon and two midlevel providers. Our providers treat and evaluate patients in four different clinic locations and perform surgeries and procedures in five different hospital locations. The Practice Manager must be able to work independently to direct and guide the activities of the clinic to generate and support surgical volumes and clinic volumes.

The right candidate will have the following skills and experience:
  • Managing a physician clinic, surgical clinic preferred
    • Physician and midlevel relations
    • Surgical Scheduling and OR Block time Management
    • In-depth understanding of pre-certification process for surgeries
    • In-depth understanding of insurance requirements and processes as relates to surgeries
  • Employment life cycle Management
    • Interviewing, hiring, on-boarding, training
    • Coaching, developing, disciplinary process, termination process
    • Employee engagement strategies
    • Scheduling team members and payroll management
  • Claims creation
    • Knowledgeable on CPT codes and proper modifier utilization for surgeries, procedures and clinic visits
    • Knowledgeable on ICD-10 codes for surgeries, procedures and clinic visits
  • Budget Management
    • Patient Clinic visit volume management
    • Revenue generation
    • Expense control
    • Inventory management
    • Analysis of P&L statements
  • Medical terminology including
    • Anatomy of the spine and extremities
    • Procedure related terms and acronyms for the spine
    • Surgery related terms and acronyms for the spine
  • Medication knowledge
    • Knowledgeable on common medications by:
      • Brand and generic name
      • Typical diagnoses treated by medication
      • Usual dosage and route
      • Usual duration of therapy; acute, chronic, PRN
    • Knowledgeable on preparation of injections following sterile procedure
  • Hands-on direct management of medical staff who perform patient intake in the clinic setting
    • Medical staff must be trained, credentialed and oversight of performance on the following:
      • Manual BP, pulse, respirations, etc.
      • Height and Weight
      • Medication reconciliation
      • Assessment of pain level
      • Accurate collection of diagnoses, medical history, family medical history, surgical history, etc.
      • Wound care
        • Undressing, redressing and cleaning surgical site wounds following sterile procedure
        • Staple and suture removal following sterile procedure
      • Imaging and diagnostic ordering
        • Knowledgeable on the various types of imaging and diagnostic studies
        • X-Ray, MRI, CT scan, EMG/NCS, CT Myelogram, Discogram with Post-Discogram CT
      • Ordering, reviewing, uploading images and results reports
      • Perform pre-visit planning for clinic visits
      • Sanitizing all patient care areas between patient visits and at the end of the clinic
      • Inventorying and stocking patient exam rooms
  • EMR knowledge with multiple years of experience
    • Hands-on management and direction for medical staff on the following EMR functions:
      • Management of incoming new patient referrals and scheduling
      • Registering patients in the system
      • Verifying insurance and entering authorizations
      • Time of Service collections with co-pays, co-insurance and deductibles collected at 99%+, outstanding balances collected at 20%+
      • Entering patient demographics, medications, vitals, surgical history, family history, allergies, etc.
      • Reviewing and reconciling medications electronically
      • Entering and processing electronic orders for imaging, diagnostic studies, procedures, surgeries, etc.
      • Entering and processing RXs electronically
      • Create and follow up on all outgoing referral orders
      • Entering MIPS clinical patient data for quality measures
      • Reviewing and processing incoming clinical documents
      • Utilizing a patient portal for communication and document sharing
      • Completion of medical forms including but not limited to: FMLA, STD, Worker’s Compensation, Assistive devices, parking permits, etc.
