We are seeking a detail-oriented and highly organized HVAC Operations Support Assistant to join our team to support one of our offices in: Paso Robles, Rancho Cucamonga, Sacramento, or Phoenix Arizona Office. This position requires excellent organizational skills, and the ability to work effectively. HVAC Operations Support Assistant will be the liaison between operations, admin, and customers for billing issues for HVAC.
START DATE is projected 1/2/2024
DUTIES and RESPONSIBILITIES
- Work Review:
- Daily/ Weekly reports
- Meeting review with market managers to ensure effective process flow
- Review jobs and make sure they are in correct status in Insite for billing and
- Coordinates with Senior Management on the evaluation of the cost-effectiveness pricing
on exempt items on WO’s
o Review rejected DWR’s
o Keeping vendor portals update with current job status
o Weekly payroll audits to make sure DWR’s are being submitted
o Weekly reports for maintenance jobs completed for Customers
o Oversee all quotes and billing rates for HVAC
o Help with billing on Special Projects
o Work with Managers to review and resolve any billing questions
o PO requesting from Customers
o Materials are being captured correctly and at the correct amount
- Process Improvements:
o Produce and implement procedures to keep Insite updated
o Keep up with org chart
o Maintain SOPs for admins and operation teams
o Establish and maintain effective working relationships with customers and personnel
o Work’s independently with minimum or no supervision
o Complies with all specifications, industry standards, safety rules, regulations, and company
policies and procedures
