Job Description:
The Facilities Coordinator is responsible for coordinating the day-to-day activities and use of the Chicago Campus. Specifically, the Facilities Coordinator will support on-campus events and provide general administrative support to campus faculty and staff. The position is often the point of contact individual at the campus, and as such is responsible for providing exceptional customer service and administrative support to the campus community. The Facilities Coordinator will also serve as the main point of contact in absence of the Facilities Director.
Principle Duties:

Manage the campus seating chart and floor plan for classrooms and assist with setup, takedown, and the general rearrangement of furniture within rooms and common areas.

Assist in scheduling and reserving space for visitors.

Assist with campus health and safety procedures, serve as a member of the campus emergency response team, and implement emergency response plans if required.

Communicate department initiatives and policies to the campus community.

Coordinate the purchase of facilities operational supplies and equipment.

Train and supervise work study students to staff the front desk and assist with facilities operations.

Maintain general reception/waiting areas and open office and classroom spaces to ensure they are presentable and professional in appearance.

Maintain kitchens, mail room, office supply cabinets, copiers, and common areas as well as keeping inventory of all essential campus supplies and order requests.

Perform low level maintenance and repairs of campus facilities.

Perform routine inspections of the campus and report/follow up on any operational or maintenance issues.

Perform other duties as assigned to meet departmental goals and objectives.
Essential Knowledge, Skills, and Abilities:
-
Ability to establish priorities, anticipate department administrative and support needs, and work in an organized manner with emphasis on detail and accuracy.

Excellent written communication skills for preparing various documents and reports, including keyboarding, editing, and consistent application of correct spelling, grammar, and punctuation.

Ability to handle complex inquiries and interact in a calm and supportive manner with a diverse and culturally diverse group of faculty, staff, and students.

Ability to handle multiple tasks and assignments and meet demanding deadlines.

Ability to work independently without close supervision and as a member of a team, seek consultation when necessary.

High level of reliability and commitment to maintain confidentiality.

Ability to handle tasks and last-minute requests with a positive and supportive attitude and to stay flexible when priorities shift.

Ability to perform low level maintenance including but not limited to painting and furniture installation and to lift, push, and pull approximately 50 pounds.

Flexibility to work evenings and rotating weekends.
Position Qualifications:

High school degree or equivalent, Bachelor’s degree preferred

Previous experience in facilities preferred

Past work in a college/university setting desired

Intermediate to advanced skills in Microsoft Office Suite

Exceptional customer service skills
-
Must be able to lift approximately 50 pounds
Compensation & Benefits
This opportunity is budgeted at $21.00 - 26.00 per hour base compensation. Additional compensation factors may impact total compensation.
