About this position

The Events department is looking for an Event Project Specialist to work with the team on registration, event planning, invoicing, and general administrative duties. The ideal candidate will have excellent multi-tasking and customer service skills. You must have the ability to handle ongoing responsibilities at one time while keeping scheduling and timely execution top of mind. This role is intended to provide support in the creation and execution of event and travel experiences that meet expectations and promote the Plexus culture and brand. The specialist will work with Events and other departments ensuring high-quality deliverables, travel and logistics.

What you'll do

  • Contribute to planning, coordination, development, and implementation of event department goals and objectives.
  • Work as a key member of events team with day-to-day of logistics for ambassador events.
  • Participate in planning meetings, reviewing details of events which he or she has working on, answering questions from staff members, and discussing relevant logistical matters.
  • Provide day-to-day support with Zip (invoicing/contract), registration and events inbox.
o Represent as an event point of contact for employees and ambassadors; Provide constant communication and answer general questions about events through multiple channels (email, phone, web, mail, etc.)
o Enter and monitor accounting activities and department invoices as appropriate and prepare internal reports for team and management.
o Manage all department ZIP requests (contracting, invoicing and vendor mgmt.) and follow up with appropriate team member.
  • Create, manage and reconcile event registration sites and rooming lists through registration system for assigned events.
  • Work with the marketing department for creating branding/signage for each event.
  • Aide in the creation and upkeep of event rooming lists.
  • Determine registration kit needs for each event.
  • Coordinate staff event shirt selection and distribution.
  • Work with venue support staff for electricity, internet, security, etc. event needs.
  • Perform event registration maintenance including responding to Ambassador's questions, making registration changes, and providing updates to team members. Also includes on-site registration assistance.
  • Work with Communication team regarding event comms plan from start to finish.
  • Build, maintain and communicate master event calendar / event landing page.
  • Assist and create event RFP's for executive presentations.
  • Participate in budget planning and management, as required.
  • Coordinate and administer the purchasing of supplies and/or equipment for the department as needed.
  • Travel when necessary to offsite events such as Annual Convention, Leader's Retreat, Emerald Extravaganza and Gold School and future events.
  • Provide timely support for a variety of administrative activities, as directed, within the busy and fast-paced events department, as directed.
  • Assist with Zen Desk and events email box.

You should have

  • Associates Degree or equivalent work experience.
  • 1-2 years of relevant experience
  • You have the ability to meet deadlines, manage multiple tasks, and effectively track details in a fast-paced environment.
  • You have strong planning and follow up skills.
  • You have the ability to collaborate with others and thrive in a team environment while meeting individual goals and expectations.
  • You can anticipate obstacles, communicate effectively, and plan accordingly.
  • You' re adept at providing solutions and working in cross functional areas to facilitate successful completion of projects.
  • You maintain positive relationships with all departments.
  • You value relationships and is able to influence others to develop relationships that are reflected in continuously positive experiences.
