POSITION DESCRIPTION

Our client seeks to hire an Administrative Operations Manager. The ideal candidate should possess a high level of enthusiasm, effective leadership qualities, strategic and analytical thinking capabilities, comprehensive operational expertise, financial acumen, multitasking abilities, and excellent interpersonal skills.

Accounting Responsibilities:

  • Collaborate with our outsourcing company to maintain accurate accounting ledgers.
  • Manage accounts payable, including maintenance, coding, and approval process using Bill.com.
  • Ensure seamless information transfer between the outsourcing company and our external tax preparer.
  • Coordinate specialized miscellaneous reports and requests, some of which are prepared by the outsourcing company.

Data Management Duties:

  • Assist with information and data management, including document scanning and filing.
  • Serve as the primary liaison between the investment office and outsourced teams.

Other Responsibilities:

  • Arrange in-office meetings, procure office supplies, process medical reimbursement forms, and provide general administrative support.
  • Must be a notary public or willing to become one.
Requirements
  • Demonstrated strong organizational skills with the ability to handle multiple projects in a fast-paced environment while maintaining attention to detail.
  • Proven ability to prioritize tasks, manage workload, meet deadlines, and handle competing demands.
  • Committed to providing exceptional customer service.
  • Maintains the highest level of integrity and respects confidentiality.
  • Proficient in Microsoft Word and Excel. Familiarity with QuickBooks software is mandatory, and knowledge of Adobe and DocuSign is a plus.
  • Experience with Bill.com is preferred.
